Cancellation & Rescheduling Policy

I understand that unexpected circumstances arise and that sometimes appointments need to be changed or cancelled. At the same time, when you book an appointment, a dedicated session time is reserved specifically for you.


Adequate notice allows me the opportunity to offer this appointment to another client. Late cancellations and missed appointments are often unable to be filled and have a direct impact on the sustainability of the practice.

Cancellation Fees

The following cancellation fees apply when cancelling or rescheduling an appointment:

 

  • More than 48 business hours’ notice: No cancellation fee.

  • 25–48 business hours’ notice: 50% of the scheduled session fee.

  • 24 business hours’ notice or less: 100% of the scheduled session fee.

  • Non-attendance without notice: 100% of the scheduled session fee.

Business Hours & Notice Periods

Cancellation notice is calculated according to business days and business hours, rather than simply the number of hours before your appointment.


This means that weekends and public holidays are not counted towards the required notice period.


For example, if you have an appointment scheduled for Monday and need to cancel or reschedule, notice will generally need to be provided during the preceding business days for the appropriate notice period to apply.

Why Is There a Cancellation Fee?

When you book an appointment, approximately one hour of professional time is set aside specifically for you. Unlike shorter medical appointments, a 50–55 minute therapy, consultation or supervision appointment can be difficult to fill at short notice.


The cancellation policy helps cover the professional time that has been reserved, as well as the ongoing costs associated with providing the service.

How Will I Know About the Policy?

The cancellation policy is communicated through one or more of the following:

  • When booking your initial appointment

  • As part of your intake and consent documentation

  • In appointment confirmation and/or reminder communications

  • On the practice website


By booking and retaining an appointment, you acknowledge and agree to the cancellation and rescheduling policy.

Exceptional Circumstances

I recognise that genuine emergencies and exceptional circumstances can occur. Where appropriate, these circumstances may be considered on an individual basis.

Thank you for providing as much notice as possible if you need to change your appointment. This allows me to manage appointment availability fairly and continue providing a sustainable and responsive service.
